How We Share Your Information
Moving Co. does not sell, rent, or trade your personal information to third parties for marketing purposes. We will never share your information with unrelated companies for their own promotional use.
We may share your information in the following limited circumstances:
Service providers: we may share your information with trusted third-party service providers who assist us in operating our business. This includes our CRM platform (SmartMoving), payment processors, email service providers, and website hosting providers. These service providers are given access only to the information necessary to perform their functions, and they are contractually obligated to protect your information and use it only for the purposes we specify.
Legal requirements: we may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, the safety of others, or to investigate fraud.
Business transfers: in the event that Moving Co. is involved in a merger, acquisition, or sale of all or a portion of its assets, your personal information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
Communications and Consent (CASL Compliance)
Canada’s Anti-Spam Legislation (CASL) governs how businesses send commercial electronic messages (CEMs) to individuals. Moving Co. is committed to full compliance with CASL.
Transactional and service-related communications: when you request a quote, make a booking, or engage with us about a service, we have implied consent to communicate with you by email, phone, and text message for purposes directly related to that service. This includes booking confirmations, scheduling updates, service-related follow-ups, invoices, and responses to your inquiries. These communications are not considered commercial electronic messages under CASL and do not require express consent.
Commercial and marketing communications: if we wish to send you promotional messages, special offers, newsletters, or other marketing content by email or text message, we will first obtain your express consent. You may provide this consent through an opt-in checkbox on our website, by verbally agreeing during a phone conversation, or by another clear affirmative action.
Withdrawing consent: you may withdraw your consent to receive commercial electronic messages at any time by clicking the unsubscribe link included in any marketing email, replying STOP to any marketing text message, or contacting us directly by email or phone. We will process your withdrawal of consent within 10 business days, as required by CASL.
Withdrawing consent for marketing communications will not affect your ability to receive transactional or service-related messages connected to an active booking or inquiry.
Data Storage and Security
Your personal information is stored securely within our business systems, including our CRM platform (SmartMoving), our email systems, and our website hosting infrastructure. Access to your information is restricted to authorized Moving Co. personnel who require it to perform their duties.
We implement industry-standard security measures to protect your information, including encryption of data in transit (SSL/TLS on our website), secure access controls, and regular review of our security practices.
Your personal information is stored and processed in Canada. Our service providers may store data on servers located in Canada or the United States. Where your information is processed outside of Canada, we take reasonable steps to ensure it remains subject to appropriate privacy protections.
No method of electronic storage or internet transmission is 100 percent secure. While we strive to protect your personal information, we cannot guarantee its absolute security. We encourage you to take steps to protect your own information, such as using strong passwords and keeping your account credentials confidential.
Data Retention
We retain your personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, to maintain our business records, to comply with legal obligations (including tax and financial reporting requirements), and to resolve disputes.
As a general practice, we retain customer records for a minimum of seven years following the completion of a service, consistent with Canadian tax and business record-keeping requirements. After the retention period, your information will be securely deleted or anonymized.
If you request deletion of your personal information (see Section 9), we will comply with your request unless we are legally required to retain certain information.
Your Privacy Rights
Under PIPEDA and applicable Canadian privacy law, you have the following rights regarding your personal information:
Right of access: you have the right to request access to the personal information we hold about you. We will provide you with a copy of your information in a commonly used format within a reasonable timeframe.
Right of correction: if your personal information is inaccurate or incomplete, you have the right to request that we correct it.
Right to withdraw consent: you may withdraw your consent for certain uses of your personal information at any time, subject to legal and contractual limitations. Withdrawal of consent may affect our ability to provide certain services to you.
Right to deletion: you may request that we delete your personal information where it is no longer required for the purposes for which it was collected and where we are not legally required to retain it.
Right to complain: if you believe we have handled your personal information improperly, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada (www.priv.gc.ca).
To exercise any of these rights, please contact us using the information provided in Section 12 of this policy. We will respond to your request within 30 days, as required by PIPEDA. We may need to verify your identity before processing your request.
Cookies and Website Analytics
Our website uses cookies — small text files placed on your device when you visit our site — and similar technologies to collect usage data and improve your browsing experience.
We use the following types of cookies:
Essential cookies: these are necessary for the basic functioning of our website, such as maintaining your session when you fill out a form. These cookies cannot be disabled without affecting the website’s functionality.
Analytics cookies: we use analytics tools (such as Google Analytics) to understand how visitors interact with our website — which pages are visited most, how long visitors stay, and how they navigate the site. This data is collected in aggregate form and does not personally identify you. It helps us improve our website’s content and user experience.
You can control cookies through your browser settings. Most browsers allow you to block or delete cookies. However, blocking essential cookies may prevent certain features of our website from functioning properly.
Our website does not respond to Do Not Track (DNT) browser signals at this time, as there is no universally accepted standard for how to respond to such signals.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other operational reasons. When we make material changes, we will update the effective date at the top of this policy and post the revised version on our website.
We encourage you to review this Privacy Policy periodically. Your continued use of our website or services after any changes constitutes your acceptance of the updated policy.
